Suggested Revised Version of Post Office Example

    Dear Valued Postal Customer:

    The enclosed piece of mail was damaged by mail processing equipment of the US Postal Service. The Postal Service values you as a customer and would like to assure that this incident was not intentional on our part.

    I want to assure you we recognize the responsibility we accept when you entrust us with their most important business and personal mail. Letter mail is processed through very high speed computerized machines to give you the best service. But no matter how careful we are, occasionally mail will be damaged if the equipment malfunctions or if our machine operators must avoid injury.

    If you are aware of any items missing from your mail, please contact the Damaged Mail Section at  (846) 555-1212 between the hours of 9 AM and 2 PM. We will make every effort to locate the missing article and return it to you.

    Please accept our apology for any inconvenience this has caused.

Actual revision of Airport Planning Group meeting memo

As you are aware, the Rock Hill--York County Airport Commission has been working to update the Airport Master Plan. Based on your interest and prior involvement, we would like to invite you to serve on the committee that will develop the updated Plan. Our first organizational meeting will be held on March 29, 1994, at the York County Office Complex on Heckle Boulevard from 5:30 to 7:00 p.m.

At the meeting, we will establish a schedule for completing the plan and identify issues regarding growth around the airport. The staff will also present to you data we have been collecting over the past few months in order to start the planning process.
